Michaela Svanosio – Finance & PMO manager in the IT department of Repower AG
Repower AG is an internationally active energy company with its headquarters in Poschiavo. The group’s key markets are Switzerland and Italy. It is a producer and distributor of electricity, offering a wide range of services and products. The IT department team was faced with the need to find a solution to achieve specific management objectives such as the monitoring of project progress and the optimised allocation of resources in the IT department.
Although she did not participate in the software selection several years ago, Michaela, currently responsible for IT Finance & PMO, embraced this working solution with great confidence. Over time, thanks to the implementation of Twproject and the application of the PMO strategy she led, the IT department has fully achieved its goals.
The main challenge was to find a cost-effective solution that would guarantee the objectives required by the IT management
Thanks to Twproject, combined with our strategies, we have overcome the limitations of Excel. This allows us to save valuable time and obtain more precise and detailed information.
Resource allocation
The main objective of Repower AG’s IT department was to optimise resource allocation, simplifying management and avoiding the manual work previously done with Excel sheets.
Twproject deals with resource optimisation in an efficient manner, allowing for a precise workload distribution. In fact, it calculates the work load directly at the resource allocation stage, making the feasibility assessment of the project immediate and thus reducing conflicts over other activities.
With this tool, it is easy to monitor resource allocation and react in case of overloads.
Centralised management of project progress
The IT department manager at Repower AG needed to centralise project information in a single tool, with the aim of creating a project management repository from which the whole department could draw.
Twproject, with its Gantt chart, makes it very easy to update data in real time; using this tool, it is possible to monitor the progress of the project phase by phase, identify completed, ongoing and overdue tasks, and ensure that the latest changes and progress are displayed to all members who are entitled to them.
Team attendance and availability
Repower AG’s IT department, among the various services it provides to the company, also provides support to its users. It was therefore crucial to have a tool that could display available and unavailable resources in real time at any time, in order to ensure continuity and provide feedback to users in a timely manner.
Twproject provides an agenda with which it is possible to record the attendance and absence of all employees and to have an immediate visualisation on a weekly, monthly or annual basis.
Obtaining real time data from the tool to improve the distribution of resources and achieve greater efficiency in their utilisation
By adopting Twproject, Repower AG’s IT department has achieved its goal of optimising resource allocation and minimising the effort required to obtain this data.
We managed to replace a rather time-consuming Excel and achieved a new level of efficiency in project management.
Being able to exploit a working tool capable of standardising information in both writing and reading.
By deciding to invest resources in defining a standardised method within Twproject, the IT division was able to gain a clear understanding of what the department needed.
The transition to Twproject has allowed us to centralise and have a clear view of the progress of activities. Over time, we have refined a very specific process, which in most cases involves a weekly meeting with the PMs on the progress analysis.
Repower AG’s IT department has succeeded in promoting this habit by optimising the flow of information and the achievement of its objectives. It has demonstrated to all team members the effectiveness of the method applied, convincing even the most sceptical resources through the opportunity to see the improvement first-hand.
Monitoring team attendance and availability
Running a support service on several operational levels, it is vital for the Servicedesk team in the IT department to be aware of planned absences in order to avoid assigning tasks that would then be impossible to complete.
We have established a convention in Twproject by marking events as ‘unavailable’ and splitting appointments between holidays and training, so that everyone knows who is present and who is not in the company!
Using Twproject, Repower AG’s IT department wisely balanced costs and benefits, demonstrating considerable expertise in managing this operational tool. In addition, it was able to take full advantage of the considerable flexibility offered by the platform. It fully achieved its objectives by gaining better communication and a clear view of project progress and resource allocations in the IT department.
Twproject has been an excellent solution for us, which, in synergy with our PMO strategy, has facilitated the achievement of our set goals: we are very satisfied!
