Cepi Silos is a company that designs, builds and instals ready-to-use industrial plants for the storage, transport and dosing of raw materials, with integrated automation of all systems and technologies for the completion of every food production process.
Until Twproject was adopted, the company relied on Excel spreadsheets and e-mail exchanges as the only tools for updating and communicating. However, as the company’s workload increased, the need to find a more suitable tool to support and simplify the work became evident and common for departmental managers.
Marco reports that he, too, felt strongly the need to solve the situation at some point.
Due to a significant growth in business activities, I personally experienced the difficulty of having to update three Excel spreadsheets and manage hundreds of emails, an extremely time consuming task that offered a limited view of the resources available to complete projects in the desired timeframe.
Hence, I was also pleased when the company started a process to select a work tool: in particular, the board evaluated several solutions similar to Twproject and we conducted in-depth tests on three different products; in the end, we chose Twproject, an Italian product that thrilled us with its intuitiveness and flexibility, perfectly meeting our expectations.
One of the main business challenges was to find a reliable platform to work smarter and more effectively, allowing resources to standardise their working methods and gain speed in planning.
Twproject has been a turning point for the company. It has provided us with a major simplification of resource management, both in terms of assigning work and having control over the availability of the departmental team.
Cepi Silos set out to reform project management by abandoning the use of Excel and adopting a functional work tool. The use of Excel had led to several limitations, with various departments managing their own files and projects without an overview between project managers and technical managers. This waste of energy and the difficulty in monitoring the progress of commissions could cause bottlenecks.
To tackle the problem, the company chose Twproject, the tool that seemed most intuitive and easy to adopt for all departments after the testing period.Twproject, thanks to the interactive Gantt, allows all project phases to be planned and assigned to the correct resources on time. This enabled Cepi Silos to share all deadlines without wasting energy by sending dozens of emails.
Twproject provides an up-to-date view of project progress, as well as an overview of all activities, allowing the team’s work to be organised and defined, setting priorities and providing a comprehensive view of the status of resources, one of the key requirements for Cepi Silos.
Cepi Silos was experiencing difficulties in optimising the workload on commissions using Excel, which had limitations when updating cells. Furthermore, there was a lack of easy planning for the allocation of resources and working hours, hindering the coordination and efficient organisation of resources.
Twproject overcomes the limitations of Excel, enabling more effective workload monitoring on commissions. Thanks to advanced optimisation calculations, Twproject allows the load of resource groups to be optimally managed. This permits Cepi Silos to organise resources by departments or divisions and obtain a detailed view of the workload.
Furthermore, Twproject includes the ‘Plan’ module that allows the creation of a customised schedule for the allocation of resources and working hours during the project, based on specific preferences. The use of this module has helped the company to further optimise the use of available resources.
Cepi Silos aimed to accurately record the hours worked on commissions, a key element in optimising their processes. Prior to adopting Twproject, the company was using an inflexible system that made it difficult and time-consuming to do this in a timely manner.
Twproject makes it very easy to enter hours to meet the needs of all types of resources, and it also plays an active role in ensuring that log entries are complete. In fact, the system sends notifications to assignees in the event that records are omitted, ensuring that nothing is overlooked.
Twproject provides comprehensive and customisable reports that enable accurate analysis of results. This functionality has allowed Cepi Silos to improve the transparency and accuracy of data on hours worked.
Another objective for the Cepi Silos team was to avoid the loss of information among the different departments of the company. Knowing that sometimes months would pass between the communication of a request and its actual implementation, they wanted to find a practical solution to avoid the dispersion of these notifications among departments.
Twproject fulfils this need well because it has integrated ToDo management functionality into projects and phases. ToDo’s are highly agile, time-plannable objects, accompanied by documents, comments and mentions, and they allow users to keep track of the micro-activities in the project.
With the use of ToDos in Twproject, Cepi Silos is able to record and monitor all notifications and requests across departments. This functionality ensures that information is not lost during the communication and implementation process. Each request can be assigned to a recipient, prioritised and tracked until completion.
Opting to use Twproject as a working tool, Cepi Silos discovered in it an intuitive and easily adaptable interface, which allowed the company to gain an overview of all commissions involving the various departments.
Thanks to Twproject, Cepi Silos was able to promote a collective habit of using and sharing information, thereby optimising business flow and communication.
Thanks to Twproject’s interactive Gantt, the company can now coordinate and monitor two important project phases: the design phase and the production phase. This makes it possible to efficiently manage the resources of different departments by assigning tasks according to each one’s time schedule.
With Twproject, Cepi Silos checks the distribution of work at any time and reschedules it taking into account new variables and making more precise estimates than the initial assumptions.
The company succeeded in its objective of being able to easily monitor the progress on commissions and to accurately estimate the effects of new orders, checking the workload and avoiding bottlenecks.
Twproject is a great solution that gives you an intuitive and immediate snapshot of the situation of all your commissions. It also allows us to manage resources in an optimal and simple way, avoiding mistakes and energy effort caused by previous management with Excel!
By adopting Twproject, Cepi Silos overcame the challenge of laborious and untimely reporting of hours worked on commissions. Twproject has greatly simplified this process, improving operational efficiency and ensuring accurate management of resources and time spent on the project.
Twproject has an efficient and user-friendly system for tracking working hours, thus the reporting process has been streamlined: registering work and analysing it has become easier.
During the progress of a project, some departments of Cepi Silos have to wait for long periods of time for tasks assigned to other departments to be carried out, but at the same time, it can be useful to take note of considerations or characteristics that have to be fulfilled in the subsequent stages. With Twproject’s ToDos, they have found a practical solution to avoid losing these reports or requests between different departments.
In Twproject, I was surprised by the effectiveness of the ToDo assignable to projects/phases. ToDos are an agile and practical tool to schedule over time, which means the system is very reliable for keeping track of future tasks and reminders. It allows you to unload your mind so that you don’t have to remember everything by heart.
ToDos offer a practical way to free the mind from future commitments, allowing team members to better focus on current tasks. With this Twproject feature, Cepi Silos can ensure efficient handling of requests and better collaboration between departments, minimising the risk of losing important business information.
In conclusion, Cepi Silos’ adoption of Twproject has brought significant improvements in project planning and management and in optimising workload on commissions.
The software overcame the limitations of using Excel, offering an intuitive and easily adaptable interface that promoted better overview and collaboration between departments.
Twproject simplified the recording of hours worked, ensuring the completeness of the data.
Furthermore, the company avoided the loss of information among departments, improving the efficiency and transparency of internal communications.
Overall, the implementation of Twproject enabled Cepi Silos to optimise processes, improve resource management and achieve positive company-wide results.
Thanks to Twproject, my office can operate autonomously for a long period during my absence, which is much appreciated!
