At last, you can see exactly what you have planned, how much time you still have available, and where the heaviest workload lies. It\u2019s no coincidence that <strong>Twproject <\/strong>is rated as one of the <a href=\"https:\/\/twproject.com\/blog\/the-best-to-do-and-task-management-software\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>best tools for managing ToDo&#8217;s and tasks<\/strong><\/a>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">To enable this feature, go to: <strong>Weekly Agenda<\/strong> \u2192 <strong>Options (cog icon)<\/strong> \u2192 <strong>Show planned activities<\/strong>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">From that moment on, your work commitments for the week will no longer be a flat list: they will become a visual map spread out over time.<\/p>\n\n\n\n<p><a name=\"todo\"><\/a><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Undated ToDo&#8217;s: they\u2019ve finally found their place<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">One of the most common problems in day-to-day task management is this: you have a list of <strong>assigned ToDo&#8217;s, but without a specific due date<\/strong>. They just lay there, waiting, with no clear timeframe.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">With My Weekly Workspace, these ToDo&#8217;s appear in a <strong>dedicated column on the left-hand side of the Agenda<\/strong>. From there, you can simply drag them to the <strong>day and time<\/strong> of your choice, and assign a <strong>duration <\/strong>as well.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">The result is that you\u2019ll avoid forgetting important tasks and therefore won\u2019t face any nasty surprises at the end of the week. By planning this way, each ToDo will have its own time slot, so you\u2019ll know exactly when you\u2019ll be tackling it.<\/p>\n\n\n\n<p><a name=\"data\"><\/a><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Dated ToDo&#8217;s: drag them wherever you like<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">But there are also <strong>ToDo&#8217;s with an assigned date<\/strong>, and therefore organised more precisely: these appear at the top of the Calendar, positioned above the corresponding day. From there, you can:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Drag them to a specific time<\/strong> of day<\/li>\n\n\n\n<li><strong>Adjust their size<\/strong> to increase or decrease the estimated duration<\/li>\n\n\n\n<li><strong>Reschedule them for another day<\/strong> if your priorities change<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">This flexibility allows you to <strong>adjust your <a href=\"https:\/\/twproject.com\/blog\/projects-resource-workload-what-you-need-to-know\/\" target=\"_blank\" rel=\"noreferrer noopener\">workload <\/a>in real time<\/strong>, without having to leave the calendar or access other sections. The working week adapts to you, not the other way round.<\/p>\n\n\n\n<p><a name=\"aggiungi\"><\/a><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Add new ToDo&#8217;s directly from your Agenda<\/h3>\n\n\n\n<p class=\"wp-block-paragraph\">This new feature means you no longer have to jump from one section to another to set up new tasks. With just a few clicks, it\u2019s already in the right place.<\/p>\n\n\n\n<p><a name=\"piani\"><\/a><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Work Plans: show your commitment to a project<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Sometimes it\u2019s not about a specific task, but about the <strong>time you\u2019ll devote to a particular project<\/strong>: a session of focused work, a block of hours set aside for reviewing a <strong><a href=\"https:\/\/twproject.com\/blog\/identify-project-deliverables\/\" target=\"_blank\" rel=\"noreferrer noopener\">deliverable<\/a><\/strong>, or a morning spent working on a complex assignment.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">That\u2019s why we\u2019ve introduced <strong>Work Plans<\/strong>: blocks that you can add to your Agenda to indicate your commitment to a project, even if it isn\u2019t linked to a specific ToDo.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">Work Plans help you to:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Protect your time<\/strong> from interruptions and overlaps<\/li>\n\n\n\n<li><strong>Let others know<\/strong> that you are focused on a specific task during that time slot<\/li>\n\n\n\n<li><strong>Track how much time you have spent<\/strong> on each project over the course of the week<\/li>\n<\/ul>\n\n\n\n<p class=\"wp-block-paragraph\">Work Plans can also be added quickly to the Calendar in the same way as ToDo&#8217;s: position the cursor, drag to select the duration, add a description, and you\u2019re done!<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"673\" height=\"285\" src=\"https:\/\/twproject.com\/blog\/wp-content\/uploads\/2026\/07\/Work-Plan.jpg\" alt=\"\" class=\"wp-image-29712\" srcset=\"https:\/\/twproject.com\/blog\/wp-content\/uploads\/2026\/07\/Work-Plan.jpg 673w, https:\/\/twproject.com\/blog\/wp-content\/uploads\/2026\/07\/Work-Plan-400x169.jpg 400w\" sizes=\"auto, (max-width: 709px) 85vw, (max-width: 909px) 67vw, (max-width: 984px) 61vw, (max-width: 1362px) 45vw, 600px\" \/><\/figure>\n\n\n\n<p><a name=\"segna\"><\/a><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">\u2018Mark as busy\u2019: your Agenda speaks to your colleagues<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">For both <strong>ToDo&#8217;s<\/strong> and <strong>Work Plans<\/strong>, there is a very handy option: \u2018<strong>Mark as busy<\/strong>\u2019.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">By enabling this feature, that time slot will appear as booked in the Agenda even when it is <strong>viewed by other colleagues or your manager<\/strong>. This will help you avoid unintentional meeting clashes and requests for availability at the wrong times.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">And there\u2019s more: if you<strong> link your ToDo or Work Plan to an external calendar<\/strong> (such as Google Calendar or Outlook), the event will be automatically exported to that calendar and the resource will be marked as busy <strong>by default<\/strong>, without the need for any further action.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\"><strong><a href=\"https:\/\/twproject.com\/blog\/new-twproject-release-7-2-use-of-external-calendars-and-integrated-ai\/\" target=\"_blank\" rel=\"noreferrer noopener\">Two-way synchronisation with external calendars<\/a><\/strong>, which was first introduced in version 7.2, is now even more closely integrated with weekly planning.<\/p>\n\n\n\n<p><a name=\"tutto\"><\/a><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Everything reflects on the resource\u2019s workload<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Any activity you plan in My Weekly Workspace \u2014 whether it\u2019s a ToDo, a work plan or a scheduled appointment \u2014 is automatically <strong>reflected in the <a href=\"https:\/\/twproject.com\/support\/using-twproject\/work-planning\/work-load\/\" target=\"_blank\" rel=\"noreferrer noopener\">resource\u2019s workload<\/a><\/strong>.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">This means that the team manager always has a realistic and up-to-date picture of how busy each person is.
