It also allows you to view <strong>work plans<\/strong> and offers collaboration tools.<\/p>\n\n\n\n<p>In the context of project task management:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>it includes <strong>Kanban<\/strong> and <strong>calendar<\/strong> views<\/li>\n\n\n\n<li>it features a \u201clightweight\u201d <strong>timeline<\/strong><\/li>\n\n\n\n<li>it can be integrated with <strong>Microsoft 365 and Teams<\/strong><\/li>\n<\/ul>\n\n\n\n<h5 class=\"wp-block-heading\">What it does not offer in terms of task or activity management:<\/h5>\n\n\n\n<p>The main limitation of task management in Planner, compared to MS Project, is that it is not possible to <strong>formally link one task to another<\/strong>. This is because, in Planner, there is no distinction between <strong>project activities<\/strong> and <a href=\"https:\/\/twproject.com\/blog\/the-to-dos-the-agile-way-of-managing-projects\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>To Do&#8217;s<\/strong><\/a>. Whilst the latter are <strong>micro-tasks and daily tasks<\/strong> to be carried out, project activities are the <strong>phases<\/strong> into which the work is divided and should therefore be able to be <strong>sequential or dependent<\/strong> on one another.<\/p>\n\n\n\n<p>The fact that tasks in Planner cannot be linked means that you cannot:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>block<\/strong> the start of a task automatically<\/li>\n\n\n\n<li>calculate the <a href=\"https:\/\/en.wikipedia.org\/wiki\/Critical_path_method\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>critical path<\/strong><\/a><\/li>\n\n\n\n<li><strong>recalculate<\/strong> the dates automatically<\/li>\n<\/ul>\n\n\n\n<p>Although the premium version does include a project timeline, this cannot be compared to a fully-fledged native <a href=\"https:\/\/twproject.com\/blog\/gantt-what-it-is-and-why-it-is-key-for-projects\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>Gantt chart<\/strong><\/a>, since Planner was not designed as a dedicated <strong>project scheduling<\/strong> tool.<\/p>\n\n\n\n<p><a name=\"cost\"><\/a><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">2. Project cost management<\/h3>\n\n\n\n<p>Unfortunately, there isn\u2019t much to say here: Planner is an operational tool, not a financial control tool for managing <strong>actual costs<\/strong> or <a href=\"https:\/\/twproject.com\/blog\/how-to-make-a-project-budget\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>project budgets<\/strong><\/a>.<\/p>\n\n\n\n<p>This means that any \u201ccost\u201d fields for activities can be <strong>manually added custom fields<\/strong>, but they are not automatically aggregated to provide comprehensive cost management.<\/p>\n\n\n\n<p>With Planner, you can therefore:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>enter amounts in the activity description<\/li>\n\n\n\n<li>attach Excel files<\/li>\n\n\n\n<li>use manual workarounds<\/li>\n<\/ul>\n\n\n\n<h5 class=\"wp-block-heading\">What it doesn&#8217;t offer for project cost management:<\/h5>\n\n\n\n<p>Planner, in both its basic version and its Business\/Premium versions, <strong>is not suitable for project cost control<\/strong>, as it does not offer built-in tools for:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>enter <strong>monetary values<\/strong> for costs, budgets or estimates<\/li>\n\n\n\n<li><strong>calculate<\/strong> total costs or variances from the budget automatically<\/li>\n\n\n\n<li>generate <strong>financial reports<\/strong> or <strong>analyses<\/strong> of costs<\/li>\n<\/ul>\n\n\n\n<p><a name=\"timesheet\"><\/a><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">3. Project timesheets<\/h3>\n\n\n\n<p>Let\u2019s now touch on a sore point: Microsoft Planner is a piece of software designed to track activities, not to <strong>record the actual time spent<\/strong> on tasks or generate <a href=\"https:\/\/twproject.com\/blog\/attendance-sheets-in-twproject-automated-creation-and-centralised-management\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>structured timesheets<\/strong><\/a>.<\/p>\n\n\n\n<p>In fact, in Planner you can view multiple projects side by side using the \u201c<strong>portfolio<\/strong>\u201d view to monitor their status and progress, but there is no timesheet system for tracking hours worked.<\/p>\n\n\n\n<p>If you need a <strong>multi-project timesheet<\/strong> linked to Planner tasks, the main options are:<\/p>\n\n\n\n<p><strong>1. Integration with third-party time-tracking tools<\/strong>, including apps that link to Planner and allow you to log hours spent on tasks and generate timesheets.<\/p>\n\n\n\n<p><strong>2. Use another Microsoft product with timesheet functionality, <\/strong>such as Dynamics 365, which, however, lacks the task management features found in Planner.<\/p>\n\n\n\n<h5 class=\"wp-block-heading\">What Planner cannot do natively:<\/h5>\n\n\n\n<p>As we have seen, there is no ideal solution for those who want to manage <a href=\"https:\/\/twproject.com\/blog\/timesheet-time-tracking-twproject\/\" target=\"_blank\" rel=\"noreferrer noopener\"><strong>time tracking<\/strong><\/a> in an integrated way. In fact, when using Planner, you cannot:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>enter hours worked<\/strong> on tasks and projects<\/li>\n\n\n\n<li>generate <strong>timesheets<\/strong> for the team<\/li>\n\n\n\n<li>have integrated timesheets for <strong>multiple projects<\/strong><\/li>\n\n\n\n<li>manage a <strong>structured portfolio<\/strong>, including work times and costs<\/li>\n<\/ul>\n\n\n\n<p>In a nutshell, Planner does not natively support multi-project timesheets, so if you need to <strong>link timesheets to projects<\/strong>, you will need to use integrations or external tools.<\/p>\n\n\n\n<p><a name=\"reporting\"><\/a><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">4. Reporting<\/h3>\n\n\n\n<p>As for the <strong>reporting features<\/strong>, Planner offers a main dashboard which displays:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>the status of tasks (broken down into: <em>not started<\/em>, <em>in progress<\/em>, <em>completed<\/em>, <em>overdue<\/em>)<\/li>\n\n\n\n<li>the breakdown by team member (showing the number of tasks assigned to each person and their workload)<\/li>\n\n\n\n<li>the breakdown by <em>bucket<\/em> (i.e. all tasks categorised by phase\/project (e.g. \u201cto do\u201d, \u201cin progress\u201d, \u201ctesting\u201d)<\/li>\n<\/ul>\n\n\n\n<p>This worksheet can be exported to an <strong>Excel file<\/strong> and used as a basis for reporting.
